In order to create a digitisation request on the DCS you must first link the request to a record. This article will go over how records are created on the DCS.
What is a DCS record?
A record is an entry on the DCS representing either a book or journal article. A record consists of various pieces of metadata about the book or journal article in question.
What is the difference between a record and a request?
A record refers to the book or article you are processing a digitisation for. A request is the digitisation of the specific extract you need. Think of the record as the broad category and the request as the specific case.
How are records created on the DCS?
There are a few ways records are created on the DCS:
Method 1: Born Digital
Publishers provide us with the metadata about a title at the same time as they provide us with the files. This means that, if a title is Born Digital, we will have an existing record on the DCS already. You can tell if the record is Born Digital because you will see the Born Digital icon , and the front cover of the book will be visible when you progress to the Active Request page:
Please note: it's not possible to amend the metadata of Born Digital records. Any changes you make will be overridden during future Born Digital data loads. If you spot anything that looks wrong, let us know by using the Request Change/Query CLA button and we will look into it for you!
Method 2: Trusted sources
The CLA have partnered with several metadata providers to create records on the DCS. Some of the records you'll see on the DCS have been created automatically via an API call with these metadata providers.
This can happen when you submit a request for an record that does not currently exist on the DCS. These will appear as suggested records, until such a time that a DCS user selects them.
Method 3: LMS integration
If your HEI is using an LMS that is integrated with the DCS, the DCS will also suggest records based on the metadata listed in your library's catalogue. As with the above - these records will not be created on the DCS unless they are selected by the user.
Method 4: Created by users
Last but certainly not least, the user can create the record themselves on the DCS.
Users should do this only when they cannot find the title they are looking for when searching the DCS. Please ensure that the information you enter for the record is correct, however, if you make a mistake, please let CLA know and we can amend this for you.
Please note: it is not possible for CLA to amend the ISNs (ISBNs/ISSNs) of content records. This is because ISNs are at the top of hierarchy for records. All the other metadata can be amended, but the ISN can not.
