You can send CLA any existing digitised files that you wish to be available on the DCS and we will bulk upload the content onto the DCS for you. The easiest way to do this is through a CLA Cloud account. CLA will create an HEI specific folder in The Cloud for you and share a password protected link with you to access this folder. The folder will be named after your HEI and will be empty when you first access it.
If some of the PDFs you would like to upload have cover notices, CLA will be able to remove these for you. To enable us to do this, you will need to separate your files into folders to indicate how many cover notices they have. For example, some PDFs may have a cover notice from the British Library in addition to the CLA cover notice therefore would need to be put into a folder named '2 cover notices'. We have seen some instances where the cover notices are at the end of the document also. If this is the case you can label the folder '1 cover notice at front 1 at back'. As long as the folders are clearly labelled, we will be able to remove them.
If you are sure that none of your content has a coversheet, you can upload all of your content into the HEI folder without splitting it into sub-folders.
You do not need to upload the files one by one or in small amounts at a time. The CLA Cloud allows you to drag and drop a large number of files in one go.
The default storage on the CLA Cloud will be 5GB. If you are going to exceed this limit, email us and we will increase the limit for you.
Once you have finishing adding your files to the CLA Cloud, please email us at support@cla.zendesk.com or contact the person you have been dealing with at the CLA up to this point to let us know. You will also need to complete the DCS load file spreadsheet, which you can read about here.
Please let us know if any of your files are password protected. We will need these passwords to allow us to open the files and remove the cover notices.
