Ability to delete own PDFs in the DCS
Users are now able to delete their own PDFs from the DCS. This will be particularly useful for users who accidentally upload the wrong file, and want to quickly delete it before uploading a new one without needing to contact CLA.
Users will be able to delete a PDFs that were originally uploaded by their own HEI (see the Source field in the Source Content part of your request) and is not currently in use in any other requests. If these criteria aren't fulfilled, the user will be able to submit a deletion request from within the DCS request which will be reviewed and actioned by the DCS support team.
Tip! If a PDF simply isn't useful to you anymore, we recommend leaving it in the DCS so other users can make us of it through the shared DCS repository. There is no requirement to delete PDFs from the DCS, and we recommend only deleting those where an erroneous PDF has been uploaded (i.e. it doesn't match the ISN/page range it is linked to in the DCS) or where the quality is too poor for anyone to use it (incl. missing pages or similar).

Ability to submit a change request or support query from a DCS request
Users can now contact CLA's DCS support team from within a DCS request. This should make it quicker to get help, both because users don't have to leave the DCS to contact the support team, and because by doing this, you are automatically sending all relevant info about the request you're viewing to the support team, who can then help you quicker.
You can use this functionality to request changes to be made to the book/journal article metadata, or to ask a general question about your request.
Click the new 'Request Change / Query CLA' button which is found in the top part of your DCS request. Enter any relevant details to help us resolve your query. You do not need to include info such as request ID or ISBN/ISSN, as this will be sent over to the team automatically.
The DCS will use the email address of the user you're logged in as, which is where you will receive a response to your query. If you need the response to go to an alternative email address you can include this in your message.
Note: Please do not use this form to query why your EHESS order can't be fulfilled or ask why your order has not been delivered yet. You must instead contact the British Library directly as they are the ones supplying the ordered content.
Reflow Tags on Copyright Notices
Copyright notices in the DCS will now have reflow tags, making them more accessible by making it possible for students with accessibility requirements to access documents with large font size in an easy-to-read format.
New Licence override option: Special Licence Provision
A new Licence override option has been added to accommodate alternative permissions such as the Covid-19 related Temporary Extent limits. Users will be encouraged to use this override option moving forward rather than the Second Extract override option.
Ability to switch between Book and Journal in academic request
It is now possible to change the item type in an Academic Request. This means that if your academic submitted a request for a book extract when they should have selected 'Journal Article' and not 'Book' as the type, the DCS user can use a new button as part of the Extract Search workflow to switch from 'Book' to 'Article' or 'Article' to 'Book'.
This must be done by following these steps:
- In the Extract area, enter the correct ISBN, ISSN or other metadata in the search box and click 'Search'. The DCS will now search either its Book or Journal Article database depending on which item type is selected by the Academic
- If your search results are not displayed in list view, click the red 'cancel' button to have this view display. You should now see a list of search results and below this, an 'add new record' and 'Is Article' or 'Is Book' button (see image below)
- In the list view, click the 'Is Article' button to change the type from Book to Journal Article, or 'Is Book' to change from Journal Article to Book. Important: Once you have done this, you need to do a new search to find a book or article record with the correct item type. Re-enter your search term, and when clicking 'search', the DCS will do a search using the database for Books if you clicked the 'Is Book' button, and journal articles if you clicked the 'Is Article'. Then select your preferred record as usual, or click 'Add New Record' if one doesn't yet exist.
Updates to the HEI report
The HEI report now includes the following new fields as well as those that were already there:
- OCR (yes/no)
- Colour Scale (B&W/Greyscale/Colour)
- Source (name of the HEI who originally uploaded the PDF)
- Course Description (as per the Course info)
Updates to the Downloads per Content Item report
The Downloads per Content Item report now includes the following new fields as well as those that were already there:
- Subject (as per the Course info)
- Department (as per the Course info)
