Ordering a Copyright Fee Paid Copy (from a publication that your institution does not own) or an outsourced scan (from a publication that your institution does own) through your British Library EHESS account can be completed through the DCS.
Firstly, you should start your request as normal, search for the book or article and then enter the page range. Then, confirm the licence verification and extent limits.
Not Owned Titles
For this first example, we will imagine that you are ordering a Copyright Fee Paid Copy (CFP) and therefore we would ask you to ensure that you do not override the ownership status, and that it remains as ‘Not Owned’. Please note that you should not choose the option ‘Copyright Fee Paid Copy’ at this stage, as this will tell the DCS that you already have a CFP copy, not that you are planning on ordering one. As mentioned, you should not click override at this stage, but leave it as not owned.
Once you add the request to a course, and confirm compliance with the Extent Limits, you can click the ‘Order from EHESS’ button in the ‘Source Content’ box.
This will bring up a summary of your order. You should check the details, including the Service Requested is ‘Copyright Fee Paid Scan’. Clicking ‘Place EHESS Order’ will email the order to the CLA Support team and to the British Library.
Cancellation will not be possible 24 hours after an order has been placed.
Your order will now be submitted, and this will appear on your Dashboard under the EHESS heading. As the order progresses, you will be able to view the details of your order.
After clicking Place EHESS order you will be taken to the EHESS order details page which will outline the Status of the order which should read as ‘Processing’ upon placing it.
You can click Go to Request to view the EHESS order on the Content Request page, and you can view the status of the order by scrolling down to the Source content section:
The British Library will now process your order. They will check whether they are able to fulfil your request and, if so, check the price.
If the price is within the price cap (see ‘Key changes for interim process’), they will supply the scan to CLA, who will upload the document for your review and add the price.
If the price is above cap, the British Library will send the price to CLA, who will inform you and ask you to accept or reject it.
- If you accept the price, the British Library will supply the scan to CLA who will upload the document for your review.
- If you reject the price, you will be requested to cancel the order in the DCS.
Owned Titles
Where your HEI owns a copy of the publication and you wish to outsource the scanning to the British Library, please ensure that your ownership status is confirmed so that you are not charged the Copyright Fee.
When you click ‘Order from EHESS,’ please check the order details in the pop-up including the Service Requested, which should say ‘Outsource Scan’. When you are happy, click ‘Place EHESS order.’
From here on in the steps are the same as for a Copyright Fee Paid copy detailed above. Since only the Service Fee will be charged, the price cap will not be relevant, and the British Library will proceed to fulfil where possible.
Unable to Fulfil
Should the British Library be unable to fulfil your order, the CLA support team will update the status in the DCS and let you know by email. The EHESS order will then be closed and removed from the EHESS section of the dashboard. The ‘Unfulfilled’ order will still be visible within the Source Content section of the Content Request page.
